Sharing a project with a client or subcontractor

A guest link is the thing that stops the monthly email asking where the job stands. It costs nothing and never counts towards your plan.

Invite someone to a project

  1. Open the project and go to Project team.
  2. Add the person with their name, their company and their email.
  3. Choose what they may do: view only, comment, or edit.
  4. Send them the link, or copy it and send it yourself.
The link is per project. A link to one job will not open another, so sending the wrong one shows nothing rather than the wrong thing.

What a guest never sees

This is the part worth being sure about before you invite a client.

  1. Your cost report and anticipated final cost.
  2. The risk register and the contingency in it.
  3. The subcontractor side entirely: their valuations, their retention, and what you are holding from them.
A client who can read your contingency will always want to negotiate it. Hiding it by default is not secrecy, it is keeping a commercial position where it belongs.

The three access levels

  1. View only: sees the position on their project and can open documents. The usual setting for a client.
  2. Comment: can also add comments, photographs and files. Useful for a subcontractor on site.
  3. Edit: can change project data. Reserve it for someone you would otherwise give a login.

Revoking access

Remove the person from the project team. The link stops working immediately, and the revocation is recorded in the audit trail with the date, so you can show when it happened.

Revoke when a subcontractor leaves the job, not when you remember six months later. It takes ten seconds and it is the kind of thing a client asks about during a dispute.

Guests are free, deliberately

QScope charges for the people who sign in and nothing else. Invite as many clients, subcontractors, architects and site managers as the job needs.

Software that charges per user teaches you to keep the client out of it, and then you spend every month exporting, redacting, formatting and attaching. The pricing is set this way so that never becomes the cheaper option.
