MD & Audrey Properties runs extension and renovation jobs up to £300,000 in London. Every valuation used to be built by hand in Excel. The founder told us what that took, what made him switch, and, just as usefully, what was hard about switching.

The old way
Every month started with a spreadsheet: last month’s valuation, or the cost plan. He opened the file, worked down the items, checked what had been done on site, then rebuilt the next valuation line by line: quantities, variations, retention, the advance. Then the payment application, then the documents out, then the certificate, the payment and the dates, each watched separately.

The part of the old way nobody counts is the watching: the application in one file, the certificate in another, the payment date in a calendar, the retention in someone’s head. In QScope they run from the same figures, so when the valuation is done, the application, the certificate and the dates are already agreeing with each other, because they never had a chance to drift apart.
